Competitions

In Settings → Customizations, define the fee types your studio uses — Entry fee and Coaching fee are seeded by default, and you can add costume, travel, or anything else. Each type can have an optional default amount that prefills when you bill a dancer.

1. 1Create a competition with its name, location, and dates.
2. 2Open the event to record the amount you paid the organizer and to add entries for each dancer and category.
3. 3On each entry, add one or more fees (entry, coaching, costume, …). Each fee becomes its own reimbursement charge, and can carry an optional due date the family sees on it.
4. 4Use Export on the event to download the entries as a spreadsheet or printable list — dancer, family, birthdate, and category, plus totals and reimbursement if you keep those columns on. Same export lives in the iPhone app.
5. 5As families pay you back, use Record payment on each fee — the full amount marks the fee reimbursed, and a smaller amount records a partial payment and leaves the rest owed, so a family paying an entry fee back in instalments stays straight in your totals. Every recorded payment sends the family a receipt (by email, and as a push notification in the iPhone app), and your admins get the studio's 'New payment received' alert just like for any other payment.
6. 6Watch the event's four totals — fronted, billed, recovered, and outstanding — to know exactly where you stand.

Competitions (under More) lists every event with its location, date, and entry count. Admins create an event with New competition, then open it to record entries, add each entry's fees, and record payments as families pay you back — in full, or a partial amount with the rest left owed, just like the web — useful at the feis itself, where the laptop usually isn't. Export on the event shares the same entries file as the web. Instructors see the same list and can open an event to check who is entered — and can use Export too — but, just like on the web, the money side stays out of view: no fee amounts, no money columns in their export, and no billing or reimbursement actions.
