Studio shop
/dashboard/shopThe Shop is your studio's own merch store: hoodies, tights, shoes, costume rentals — whatever your studio sells, families buy it straight from their portal or the iPhone app and pay online through Stripe. There is no shipping to manage: families pay first, your team prepares the order, and it is handed over at the studio.
The Shop is off by default. An admin turns it on when the catalog is ready, and it appears for your team and your families together: owners and front desk staff get a My Shop section in the sidebar — Products, Orders, and Inventory — while families get Shop and Orders under My Studio. Turn it off again and the module is hidden but nothing is lost — your catalog and order history come right back when you re-enable it.
Turning the shop on

- 3My Shop appears in your sidebar and the storefront appears for families — add your first products and you are selling.
Note. Owners and front desk staff both run the shop — products, stock, orders, and inventory alike — and both are alerted when a new order lands. Instructors do not see My Shop, and the money side stays with owners: front desk works the counter without seeing studio revenue, the payments ledger, or settings — including the switch that turns the shop on.
Adding products
Web dashboardOn the Products page, New product creates an item in one pass: name it, add an optional description and photo (PNG, JPG, WEBP, or AVIF up to 2MB — square images look best in the shop), choose whether it is a one-time purchase or a subscription, set the first option's price, and decide whether to limit stock. Products start active, so they show in the shop the moment you save — untick 'Active in shop' to build quietly first.
Opening a product lands you in its editor: title and description on one side, and cards for its photo, visibility (Active or Hidden — hidden products stay out of the member shop), billing, and sort order (lower numbers appear first) on the other. The Preview shop button on the Products page shows you the storefront exactly as families see it, with checkout disabled so you can browse freely.
Deleting a product removes it and its options for good, but the orders families already placed are kept.
Sizes, colors, and stock
Web dashboardEach product carries one or more variants — sizes, colors, or a single Default option — and price and stock live on the variant, so a hoodie can sell S, M, and L at their own prices and counts. Add, edit, or delete variants from the product editor; every product keeps at least one. The options keep the order you give them: drag a variant by its handle to arrange the list — S before M before L, say — and that is exactly the order families see the options in the shop and on your registration form's add-ons, with a newly added option joining the end.
The Limit stock switch controls counting: leave it off for things that never run out (fees, rentals, non-physical items), or turn it on and set the quantity on hand. A tracked variant that hits zero shows Sold out in the shop automatically, and families can no longer buy it — stock counts down as orders are paid, never sooner.
Recurring items and rentals
A product can bill on a schedule instead of once — think costume rentals or a monthly supplies kit. Set its type to Subscription and pick the cadence: Monthly, Quarterly, Every 6 months, or Yearly. A family subscribes once: the first payment creates an order for your team to prepare and hand over, and renewals simply bill on schedule without creating a new order each time.
Every subscription sits in the Subscriptions table on your Orders page — family, product, interval, price, and status (Active, Past due, Incomplete, or Canceled). Cancel stops the billing: the family is not charged again, and you confirm first. Families cannot cancel a shop subscription themselves — they get in touch and you cancel it here.
Selling items with registration
One-time products can also be offered as add-ons on your registration form, paid together with the registration fee in one checkout — the Registration section covers how to attach them. Orders placed that way arrive on your Orders page like any other, ready to prepare and hand over.
Keeping count: the Inventory page
Web dashboardInventory gathers every stock-limited variant in one table, sorted lowest stock first so what is about to run out is always on top. Adjust a count right in the row: 'Set to' replaces the count (after a shelf count, say) while 'Adjust by' moves it up or down by a number (+24 when a box arrives), and each change carries a reason — Count, Received, Correction, Damaged, Theft / loss, Promotion / donation, or Other — plus an optional note.
Every movement is logged, sales included: the clock icon beside a variant opens its full stock history — each change with its before and after count, its reason, and the order number when a sale moved it — and a Recent adjustments feed at the bottom shows the latest movements across the whole shop. Above the table, Selling trends sums up the last 28 days: units sold and revenue, how many variants are out of stock or under 14 days of cover, and per-variant sell-through, days of cover, and an A/B/C grade that flags your top sellers.
Orders and pickup
An order appears on your Orders page the moment it is paid, labeled 'Paid — prepare order' with the family's name and every item and quantity. Work each order through two steps: Mark ready when it is packed and waiting at the studio — the family's phone gets a push notification that their order is ready for pickup — then Mark completed when it is handed over. Orders waiting on you also raise a 'Needs attention' card on the Products page so nothing sits forgotten.
The money flows into your Payments ledger like everything else: each shop order is a payment of type Merch, with its own color-coded chip in the ledger and its own line in your revenue-by-type charts. The ledger and revenue views are for owners — front desk staff prepare and hand over orders without seeing the studio's books.
On the iPhone app
iPhone appOwners and front desk staff carry the shop counter in their pocket: More → Products and Orders. New product creates an item with a name, price, one-time or monthly billing, and an optional stock limit; tap any product to edit its name, description, and whether it is active in the shop — and to manage its variants right there: each size or color is listed with its price, stock, and visibility, tap one to edit it or Add variant for a new one (name, price, an optional cost that shows your profit and margin as you type, a stock limit, and whether it shows in the shop), and the arrows beside each variant rearrange the order families see, just like dragging on the web. Product photos and the full inventory tools stay on the web. Orders puts everything awaiting fulfillment up top, oldest first — tap an order to see its items, Mark ready when it is packed (that is what pings the family's phone), and Mark completed at handover. Subscriptions sit in their own list below, surfacing anything past due, with the same Cancel action as the web.
