Multiple locations
/dashboard/settingsSome studios teach in more than one place — two rooms across town, or sites in different cities under one brand. Ida OS handles this as one studio with multiple locations: one roster, one set of tuition plans, one payment account, and one portal, with a location label on the schedule so everyone knows where things happen.
Locations are a lens, not a wall: families can see and book classes at any location, and nothing about billing or signing in changes. If your studio has a single location, none of this appears — the calendar and roster look exactly as they always have.
Setting up your locations
- 1Go to Settings and find the Locations card.
- 2Add each location with its name; an address, phone number, and color are optional.
- 3Use the arrows to order them the way you want them listed in pickers and filters.
- 4As soon as two locations are active, location pickers and filters appear across the calendar, the roster, and the trial widget.
Note. A location you no longer use can be hidden — it disappears from pickers while past events keep their label. Deleting is only possible while nothing refers to the location; otherwise Ida OS asks you to reassign its events and families first, or hide it instead.
Putting events at a location
Every calendar block — classes, practices, private lessons, rentals, and workshops — can be assigned to a location when you create or edit it. 'All locations' (the default) means the event shows on every location's calendar, and editing a recurring class can apply the location to the whole series. The calendar's location filter then shows one location's schedule at a time, and the Workshops page lists each workshop's location under its title.
Home locations for families
Each family can carry an optional home location — set it when creating the family, or on the Details tab of Manage family. A home location sets the family's default calendar view and lets you filter the roster by location. It never restricts anything: a family based at one location can still see and book classes at another.
Locations everywhere else
- Trial widget: embed separate trial flows (for example Main vs Adult) and, for multi-location studios, a location-scoped snippet on each page — see 'Multiple trial flows' and 'A form for each location' under Trial booking widget.
- Ida AI: ask the assistant about one location's schedule — 'what's on in Toronto this week?' — and it filters the answer to that location.
On the iPhone app
iPhone appYou can look after your locations from your phone too: open More → Studio settings → Locations for the same list — every location with its address, hidden ones wearing a Hidden badge. Tap a location to change its name, address, or phone, or use the Active toggle to hide or show it; Add location creates a new one on the spot. Deleting follows the same rule as the web — only while no events or families still reference the location. Location colors and their order in pickers are set on the web, and the Locations screen appears for admins.
